Why was my client's card declined?
A declined card is almost always the bank saying no, not Opus1 blocking the family. Open the invoice, read the failed payment line, then call the payer — usually the parent, not the student. Have them update the card, add it yourself with permission, wait for a retry, or use Pay. Bank accounts and expired cards never wait it out.

What a declined card actually means
It's Monday morning. Autopay ran over the weekend, and now a parent is at your front desk or on the phone about a charge that failed. They think your studio turned them away. The teacher thinks tuition is broken. The invoice is still sitting there unpaid.
Nobody enjoys this conversation. The good news is that it is almost always a five-minute fix once you know which one you are looking at.
Here is what happened. Opus1 sent the charge to the card. The family's bank — or credit union, or card company — said no. That is an ordinary thing that happens to every business that takes cards. Maybe there wasn't enough in the account, maybe the card expired, maybe the billing zip didn't match, maybe the bank's fraud filter got nervous about a charge nobody swiped in person. Opus1 didn't make that decision and can't overturn it.
What you can do is find out what the bank actually said, give the parent one clear next step, and get a working card onto the right person's account so the invoice closes.

Who on your team can help
The card lives on the payer, who is almost always the account manager. The credit-card icon on a profile only appears for account managers. Dependents do not get saved payment methods of their own.

Owners and managers also get an in-app activity when autopay fails: Automatic invoice payment for the payer's name could not be processed. That is your heads-up. The parent gets the email. SMS is not sent for this.
Before you pick up the phone
Before you call, check three things in Opus1 rather than relying on what the parent thinks happened. It takes about a minute and it changes what you say.
- Who is the payer? Open the invoice. The payer is who got charged and who got the email — usually the parent / account manager. Calling the student (or adding a card on the student's profile) does not fix a parent-paid invoice.
- What did the last attempt say? On the invoice, the failed payment line starts with Decline error - and then the processor's message. That sentence is what you know. The Payment Failed email is generic on purpose; it does not quote the bank's reason.
- Is it a card or a bank account? A card that says "Your card was declined" can retry. A bank account payment — often called ACH, where the money comes straight out of a checking account rather than a card — will not retry after one failure. An expired card with a red triangle is already done — replace it rather than waiting.
It is also worth a quick look at the credit-card icon on the parent's profile:
- Red triangle Card expired
- Missing or invalid zip code / invalid zip code (common when the studio collects billing zip)
- A warning on a bank account that is not yet verified
- More than one card, and the one that failed is no longer the default — Opus1 can move default off a card it has marked as unusable
Jot those three down before you dial. Whenever you or autopay runs a charge, Opus1 uses whichever card is set as the default on the parent's profile. It has no way of guessing that they meant the other Visa.
Reading the decline message
Where: the client's (or payer's) profile → Invoices → open the invoice → the payment that shows as failed.

Staff see a line like Decline error - Your card was declined. Parents do not. Their email is the studio's Payment Failed template plus the invoice, not this sentence.

After five failures on the same card, autopay gives up on that card entirely. Add a new default card and run Pay manually. Leaving it alone will not produce a sixth attempt.
Which fix to use
You now know what the bank said. This table turns that into a decision: find your situation on the left, and the right-hand column tells you which of the six walkthroughs below to follow. Most calls are one row.

Fix the card before you try Pay whenever the saved card is the problem. Paying again with the same dead card is how you burn the remaining retries and annoy the bank's fraud filter.
What to tell the parent
This is the part most studios rush, and it is the part that keeps the family enrolled.
You are talking to whoever pays the bill. Lead with the bank rather than the software, and give them one clear next step instead of a tour of Opus1.
The default script (generic decline, or you only know that it failed):
"We tried to run this month's lessons on the card we have on file, and your bank declined the charge — that's on their side, not something we blocked. The most common reasons are an expired card, available funds, or the bank's fraud filter on a charge you didn't swipe. Could you log in to your account, tap the credit-card icon, and add the card you want us to use? There's also a Pay button on the invoice if you want to finish it as soon as the new card is there. If you didn't expect a charge at all, call the bank first so they don't keep blocking us."
Insufficient funds:
"The bank said there weren't enough funds on that card. You can add funds and we'll retry automatically over the next few days, or you can add a different card and we can charge today so Maya doesn't sit on an overdue invoice."
Expired / missing card / bad zip / bad CVC:
"The card we have on file can't be charged — it's expired / we don't have one / the zip or security code doesn't match. There's nothing to 'retry' until a good card is on the account. Here's how: log in → credit-card icon → add the card and set it as default. Text me when it's saved and I'll run the invoice, or use Pay on the invoice yourself."
ACH / bank account:
"We debit the bank account on file. That debit was returned, and we are not allowed to keep retrying the same account. Please add a card — or a different account — and we'll charge the open invoice once. If you wanted this to stay on the bank, call them; sometimes they block a new studio debit until you say it's allowed."
They think you declined them:
"We don't get to approve or decline the card. We send the charge to the processor; your bank says yes or no. I can see that they said no. I cannot see a secret stolen-card flag, and I wouldn't tell you that even if I could. A new card, or a call to the number on the back of this one, is the fix."

Ask the parent to update the card
Why this one: they have the card, the banking app, and Face ID. On Opus1 Payments they can use Apple Pay or Google Pay when they add a card themselves. You cannot offer those wallets from the staff-side form. If the bank wants 3-D Secure, they are the only person who can tap through it.
Where (what you tell them): log in to their Opus1 account → credit-card icon on their profile → Add a payment method → set it as default if more than one is saved.
What you do
- Confirm you are talking to the payer named on the invoice.
- Give the script in What to tell the parent.
- Ask them to set the new card as default. Autopay and a later Pay use default, not "the card they added last" unless it is default.
- Either they tap Pay on the invoice in their login, or they text you and you run Pay the invoice now.
Once you've done it: a good default on the payer. The open invoice does not close until someone charges it (they Pay, you Pay, or a still-eligible automatic retry).

Add the card yourself, with their permission
Why this one: they will not log in, they are at the desk, or they are reading the number over the phone. You are allowed to attach a payment method as Staff. You still need the family's permission to take the number. You cannot run Apple Pay / Google Pay for them.
Where: the payer's profile (account manager) → credit-card icon (update payment methods) → Add a payment method. The icon is hidden on a dependent who is not an account manager. That is the design.
What you do
- Open the payer, not the student, unless the student is actually the payer.
- Click the credit-card icon.
- Add a payment method. For a card, take number, expiry, CVC, and billing zip if your studio collects it (Settings → Business → Payment — "collect billing postal code"). A missing zip is a future decline on many cards.
- Set it as default.
- Close the wallet. Then Pay the invoice now — do not assume autopay will fire in the next minute.
If a previous card shows a warning, leave it. Adding a new default is enough. You can remove the dead card later so nobody selects it by habit.
Once you've done it: the payer has a new default. Charge the open invoice. A saved card does not pay by itself.
Let the automatic retry handle it
Why this one: the bank said no this time, and the card is still the right card — payday is Wednesday, they will call the fraud department this afternoon. You do not need to re-key anything. Autopay will try again.
Only if all of these are true:
- The failed line is Your card was declined. or Your card has insufficient funds. (Stripe.) CardConnect equivalents are Decline / Declined / Insufficient funds / Not sufficient funds.
- That payment method has fewer than five recorded failures on this invoice.
- The method is a card, not a bank account.
- The family is willing to wait up to 48 hours per try.
Autopay waits 48 hours from the failure, then tries again, up to five attempts on that method. Each failure can send another Payment Failed email. After five, it stops. Other decline messages never enter this queue — CVC, expiry, zip, authentication required, "no payment method," ACH.
What you do
- Tell them you will leave it on automatic retry, and when the next try is (about two days).
- Tell them the Payment Failed email will come again if it fails.
- Put a note on the account if they promised to call the bank, so the next person at the desk does not Pay the dead card in a panic.
Once you've done it: the invoice stays open. If they add a better card before the next retry, Pay so you do not wait two days for a card that is already good.
Pay the invoice now
Why this one: the method is already good, or you just made it good, and leaving the invoice open means another reminder, another late-fee window, another "did you get my card?" call. Autopay is on a 48-hour clock. Pay is now.
Where:
- One family: profile → Invoices → the open invoice → Pay
- A list: Reporting → Overdue Invoices → Pay on that row. Click Load Everything if you are working the whole list — same trap as other reports.
Staff and up can Pay. The payer can Pay from their own invoice card while logged in. Limited Staff cannot.
What you do
- Confirm the payment method on the Pay form is the new default (or cash / check / account balance if that is the actual agreement). Cards marked in error are hidden from the selector on purpose.
- Charge. If the bank wants authentication, the payer must be the one clicking Pay in their browser.
- If it fails again, read the new Decline error - line. Do not mash Pay.

Once you've done it: a successful charge closes the invoice. A failed Pay is another decline — back to Reading the decline message.
When it's a bank account, not a card
Why this one is different: A returned bank debit is a hard stop. Opus1 will not automatically retry that account on that invoice. Some ACH errors mean the account is closed, the customer cancelled the debit, or the mandate was refused. Re-running the same account is how you collect more returns, not more tuition.
What to do:
- Tell them the bank debit did not go through, and you will not keep hitting it.
- Have them add a card (fastest) or a different bank account on the payer profile. Canadian PAD / ACSS has its own mandate rules — Pre-Authorized Direct Debit Enablement (Canada).
- Pay the open invoice on the new method.
- An unverified bank account (warning triangle: verified on first successful debit) is not the same as a decline, but it is not ready for a confident "we'll just retry." Treat it as "get a working method," then Pay.
Do not wait 48 hours hoping ACH behaves like a Visa.
The card is on the wrong person
Why this one: autopay charges the payer's default payment method. A Visa on the student's profile does nothing for an invoice that names the parent. The credit-card icon only shows on account managers. If someone "added the card" on Maya, and Sam is the payer, the charge still has nowhere to go — or it still hits Sam's expired card.
- Open the invoice. Note Payer.
- Open that person's profile. Credit-card icon. That is the wallet.
- Add or replace the method there. Set default.
- Pay the invoice.
Split payers: each payer is independent. Fixing Sam's card does not charge Jordan's half. Talk to the person whose attempt failed.
What the parent has already seen
Two different family emails. Do not treat them as one. (If you got Your opus1.io payment failed, that is the studio's own Opus1 subscription, not this family's invoice.)

The Payment Failed body is your template (Settings → Business → Templates, Payment Failed). Default wording tells them to log in and update the card, and that the invoice will be retried. It does not paste "insufficient funds" into their inbox. If you want a kinder paragraph, edit the template — Client Automated Email Notifications.
Owners and managers also see the in-app activity. The parent does not see your Decline error - line unless you read it to them in plain language.
What none of this will fix
- Make the bank say yes. Opus1 cannot override an issuer decline.
- Auto-retry every failure. Only generic card declined and insufficient funds, cards only, fewer than five attempts, 48 hours apart. Not CVC, expiry, zip, 3-D Secure, empty wallet, or ACH.
- Charge a card you added on the student when the student is not the payer.
- Close the invoice when someone only updates the wallet. Someone still has to Pay, or a still-eligible retry has to succeed.
- Text them. Payment Failed is email only.
- Let Limited Staff take the card or Pay. They can use the script, but the front desk has to do the rest.
FAQ
Did we decline them? No. The bank did. You sent a charge; they said no. See Why this conversation exists.
Why doesn't the email say "insufficient funds"? The email is your Payment Failed template plus the invoice, not the processor code. You have the specific line on the invoice. They get a "please update your card" letter on purpose.
Should I keep clicking Pay? Once, after a new method or a processor error. Repeated Pays on the same decline can trip the bank and burn retries. Read the new error if it fails.
Autopay didn't try again. The message was not in the retry list, it is ACH, or that method already has five failures. New method, then Pay.
