How to Use Merge Tags in Email Templates

Merge tags are a powerful feature that allow you to personalize email templates by dynamically inserting client-specific information (e.g., names, lessons, appointment dates) directly into your messages.

1) How Merge Tags Work

Merge tags allow you to insert dynamic, client-specific data into email templates. When a recipient opens the email, these merge tags are replaced with actual values based on the client’s information in your system.

How It Works:

  • Dynamic Field Matching:
    • When an email is sent, the system checks the recipient's data.
    • If a merge tag (such as {client_name}) exists in the email, the system will replace it with the relevant data from the client’s profile.
    • For example, if {client_name} is used in the template and the recipient’s name is "John Doe," the email will show "Hello, John!" when sent.
  • Client Tag Matching:
    • A "client tag" is essentially a piece of data in your system that corresponds to a merge tag. For instance, {instrument} could be a merge tag that dynamically pulls the student's instrument tag from your database.

3) How to Use Merge Tags in an Email Template

Using merge tags in email templates allows you to create highly personalized communication. Here’s how to insert merge tags into your email templates:

  • A) Using Merge Tags in Email Templates

    You can easily insert merge tags into any part of your email template, whether it's the subject line, greeting, or body text. To do this:

      1. Click to Edit Your Template: Open the email template editor.
      2. Locate Merge Tag Menu: Look for a "Merge Tags" option or icon, typically in the toolbar.
      3. Insert Merge Tag: Select the merge tag you want to use from the list. For instance, {recipient_first_name} for a personalized greeting.

  1. Select the merge tag you wish to use.
  2. If you select any of the client tags merge tags, if there are any tags on the clients profile, that information will be dynamically used within the email based on what's in the student's profile.
