How do I sync my Opus1.io teaching schedule to Apple and Google calendars?

This article explains how to sync both your Apple and Google calendars to your Opus1.io calendar.

Syncing Your calendar To Apple and Google Calendars

The below tutorial entails the steps on how to sync your calendar to:

  1. Apple Calendar
  2. Google Calendar

NOTE: only staff (limited staff, staff, managers, owners) can sync opus1.io to their external calendars. The sync is limited to the appointments, sessions, and events where the staff is an assigned staff, i.e. the sync is only for that staff's individual teaching schedule. Owners/managers cannot, for example, sync the entirety of their business's schedule including all other staff's lessons to their Google and Apple calendar. 

For teachers: go to profile and click 'Sync My Calendar'.

For other staff (manager or owners) you may need to click on the '...' first to show 'Sync My Calendar'.

This will take you to the screen below.

Note that staff automatically have client profiles as well, so this setting needs to be toggled on for Teachers and Staff.

Next, it will ask you for permission- click PROCEED. Then click OPEN MY CALENDAR TO SYNC and it will generate a link for the sync.

 

1. How to sync Opus1.io to your Apple Calendar:

When using the sync feature, you can replace "webcal://" with "https://" 

Here you can make some adjustments under the Calendar Info settings:

Name: 

In this case, use the name of the teacher. If you are the staff/teacher, you could name this as opus1.io Calendar or the name of the School Business, it's up to you. 

Color Scheme: 

You can set a specific color for your opus1.io calendar.

Subscribed to: 

Again, just ensure that you have "https://" instead of "webcal://" at the beginning of the URL.

Location: 

Select where the calendar is going to be locally saved.

Remove:

You have options to remove alerts and attachments.

Last Update: 

Shows you when the calendar was last updated.

Auto Refresh Setting:

Every 5 minutes

Every 15 minutes

Every hour

Every day

Every week

Ignore Alerts:

Option to turn off notifications for alerts

A successfully synced Apple Calendar will look like this:

It shows the calendar name on the left. And the schedules are in the designated color. In this example, there are two teacher calendars that were synced; all green schedules are marked for teacher Joe Satriani while the other teacher Angeline Quinto has her schedule in purple.

2. How to sync opus1.io to your Google Calendar:

In Opus1.io, clients and staff have the option to sync their appointments/sessions to their Google Calendar.

When logged into Opus1.io as Staff/Limited Staff member, navigate to the left-hand menu bar and click the 'Sync my Calendar' button as displayed below.

A pop-up will appear with a green toggle.  In most cases, you will want to keep this toggled on

If toggled on: Staff may also be enrolled classes.  When toggled on, all appointments/session the employee is teaching AND appointments/sessions the employee is enrolled in will be synced to the Google Calendar. 

If toggled off: Only the appointments/sessions the employee is enrolled in as a student will be synced to the Google Calendar.

Press 'Get Calendar Sync Link.'  

 

Click 'proceed.' A new calendar sync link will be generated which will invalidate any previously generated links.  

 

If Google Calendar is the default Calendar on your device:  Click 'Open my Calendar to Sync' 

In your Google Calendar, locate 'Other Calendar' and click on the '+' icon

This will let you add an external calendar, you have a URL that was generated by opsu1.io, please select 'From URL'.

It will direct you to this page wherein you would need to paste the URL generated by opus1.io.

Again, just ensure that you have "https://" instead of "webcal://" at the beginning of the URL.

Once you see that the calendar has been added you can do some additional tweaks on the Calendar Settings.

Click on the '...' right beside the newly added calendar to access settings.

Here you can use the following settings:

  • Name
  • Timezone
  • URL
  • Permission Settings
  • Event Notifications
  • All-day event notifications
  • Other notifications
  • Integrate Calendar
  • Remove Calendar

A successfully synced Google Calendar will look like this:

 

Note: Google Calendar does not support adjusting refresh rates of imported calendars, so keep that in mind because it may not be fully up to date on scheduled lessons. 

If another Calendar is the default Calendar on your device: 

  1. Click 'Open my Calendar to Sync' 
  2. Copy the URL in the pop-up window
  3. Navigate to your Google Calendar
  4. Press the '+' next to 'Other Calendars'

  1. Select 'From URL'
  2. Paste the link that was previously copied to your clipboard 
  3. Replace the beginning of the URL.  Change 'webcal://' to 'https://'
  4. Press 'Add Calendar' and navigate out of the Calendar settings and back to the Calendar view.

 
All appointments/sessions are now visible from your Google Calendar!

Lastly, although this is a feature that we have, we still recommend that staff and teachers log in on their accounts instead of using Google Calendar due to the potential delay in the refresh rate as it is not 100% reliable.
