This article is intended to give you a general guideline for setting up music camps at your school and covers how to set up the service, add session dates, add payment plans, and create self-booking links.
Setting up the Service
The typical summer camp at a music school includes multiple client attendees, and therefore summer camp services should be configured as Session services.
To begin create a summer camp service, first create a new service by going to Add Service on your Services page.
Then, select Session as the service type and click Continue.
Fill in the applicable information that pertains to your specifications, like:
- Description,
- Duration (for instance, 360 minutes to account for a 9am-3pm camp),
- Tags
If you offer multiple weeks of camp, it's suggested to title this as the blanketed term "Summer Camps" for example.
Adding Sessions (Week 1, Week 2, etc.)
Navigate to the Sessions Tab at the top. Click +ADD SESSION
Here, you'll be prompted to input the information, like Session Name, Location, Description, tags, etc. In this example, we're naming the session "Week 1 (June 10-14)"
You can customize each Camp Session by setting different age parameters for each camp, assigning a max number of campers (ex: each week) or determining between full/half day camps.
Click "Submit"
Now, you can repeat the process, adding in Week 2, Week 3...etc.
Adding Dates To Your Summer Camp Session
From the Session tab within your summer camp service, click on the session you'd like to add dates for.
Next, click Add Dates in the top-left corner of the session page.
Add in the applicable dates. For this example, this will be set for "Recurring" and to repeat "Daily". Since most weekly camps last for 5 days, we'll set this as Ending After "5 occurrences" (M-F)
Click "Submit"
Repeat this process for each week of camp, adding in dates for each week of camp that you'll be offering.
Adding Payment Plans
First Click on the Payment Tab at the top, select "Create Payment Plan"
There are many different ways that a school may choose to set up payment. However, for this example, we'll pick a Full Session Payment Plan, which allows the client to pay a one-time fee that enrolls them in all five dates of a given week of summer camp.
Click the Full Session Payment Plan
Add in the applicable information (Price, Sign-up fees, client lifecycle statuses, tags, etc.)
Click "Update"
Enabling Self-Booking
Now, you'll need to click "Enable for Self-booking" so that clients who visit your site can self-book.
Be sure the save by clicking "Update Service"
Creating Self-Booking Links
Navigate to your Business Settings by clicking on the gear icon on the left. Click Business
Once there, click on the top tab called "Self-Booking Links" and click the pencil icon
At the bottom, Click on "Add a Custom Link"
Select "Session Self-Booking"
Enter in the Link Name and Applicable Services (select "Summer Camp" session from the dropdown list).
If you plan to offer Summer Camps to visitors (non-members), you will want to toggle "Make accessible by visitors" ON
You can Toggle ON "Call to Action" and customize the message that current students see on their dashboard.
Click "Add Link"
Be sure to hit "Update Business" to save
Now, when a client or visitor visits the self-booking link, they can choose which session to enroll in.
