How do I set up a class before the dates are set?
You can set up a class in Opus1.io before its schedule is set, then add dates when you know them. Open the group class, go to Classes, select Add Class, and enter a Class Name and Location. The class stays off the calendar and the booking page until you select Add Date(s). Families cannot enroll or join a waitlist for a class with no dates, so collect interest another way until then.

Overview
Most schools know what they want to offer next term well before they know when it meets. Say you plan a Beginner Ukulele class for fall, but the teacher's availability and the room are not settled until August. In Opus1.io, you can create the class now, with its name, location, and teacher, and leave the dates for later.
Why: Families start asking about fall classes in spring. A class that already exists in Opus1.io can collect a waitlist while you finish the schedule, so you can see which classes have demand before you commit a teacher and a room. Without it, those inquiries live in an inbox or on a sticky note, and someone has to call every family back once the dates are known.
A class with no dates stays off the calendar and holds no room, so setting it up early never blocks anything else in your schedule.
Before you start
You need three things in place in Opus1.io:
- A group class service. A class can only be added inside a group class service, and that service needs at least one payment plan. If you have not built it yet, start with How do I create a group class?. Private lessons are appointment services and use staff availability instead, and recitals use event services.
- A location. Every class needs one. Locations are set up under Settings > Locations / Rooms. You choose the room later, when you add dates.
Add the class without dates
- Go to Settings > Services and open the group class. Classes on the service card opens the same place.
- Open the Classes tab and select Add Class.
- Enter a Class Name and choose a Location. These are the only required fields. A name that says the level and term, such as Beginner Ukulele – Fall, is easy to find later, before it has a day and time.
- Add anything else you already know: Description, Primary Staff, Online ID (a video link such as Zoom, for a class that meets online), Tags, a class-specific class size, or an age range. Each one is optional, and anything left empty follows the group class.
- Select Submit.
Opus1.io confirms with Class Created Successfully, and the class appears on the Classes list with no dates. Each optional setting is explained in How do I set up an individual class?.
What a class looks like before it has dates
Open the class and Opus1.io shows No scheduled date, with a prompt to select Add Date(s) when you are ready. The class calendar reads No scheduled dates for whichever month you are viewing.
Here is what that means everywhere else in Opus1.io:
| Where | Before dates | After dates |
|---|---|---|
| Main calendar | Not shown | Each class date shows |
| Room | Not held | Held from the moment a date exists, even with no one enrolled |
| Front desk enrollment | No | Yes, with Enroll In Class |
| Booking page | Not shown | Shown, if self-booking is set up |
| Waitlist | Not available, even with Enable Waitlist on | Families can join once the class is full, if Enable Waitlist is on |
A new class has self-booking on and the waitlist off, so it stays out of sight until you choose otherwise.
Collecting interest before the dates are set
A class with no dates cannot collect sign-ups in Opus1.io. Families cannot enroll in it or join its waitlist from a self-booking link, because there is nothing yet to enroll in.
Turning on Enable Waitlist does not change this. The waitlist on the booking page is for a class that has dates and is full. It does not hold names for a class whose schedule is still open.
To find out which classes families want before you commit a teacher and a room, keep the interest list outside the class:
- With Opus1 PLUS, send interested families to your lead form. Each one lands on the Prospect Board, where you can tag them with the class they asked about, such as Ukulele Fall interest, and follow up when the schedule is posted. See How do I use the Prospect Board?.
- Without PLUS, add each interested family as a client and give them the same kind of tag, so you can find them again when the class has dates.
Why: A class that collects a dozen interested families by June is worth a prime evening slot, and one that collects none can be shelved before you have committed a teacher to it. A tag keeps that list in Opus1.io instead of in an inbox.
Add dates when the schedule is ready
- Open the class and select Add Date(s).
- On Schedule Class Date(s), confirm the name, location, room, and staff.
- Set the start date and time.
- Turn on Recurring for a repeating class, such as every Monday at 4:00 PM. If the class has no primary staff yet, Set primary staff makes the first teacher you pick its primary staff.
- Leave Skip scheduling date(s) when location is not available on, so holidays and other location closures are skipped.
- Select Submit.
Opus1.io confirms with Successfully scheduled class dates. The dates show on the class and the studio calendar, and the front desk can enroll students. If you kept an interest list, now is the time to contact those families.
Sign-ups and the waitlist once dates exist
Once the class has dates, families can find it on a self-booking link when the usual booking rules are met. The group class has to be visible to families, a payment plan has to be enabled for self-booking, and the family needs a self-booking link that includes this group class. If the class does not appear, Why isn't my service showing on my self-booking link? walks through each check.
When the class is full, Enable Waitlist lets families join the waitlist from the booking page instead of enrolling. Set How many clients can be on the waitlist for a class of this service? on the group class first. Disable Waitlist closes the waitlist to new sign-ups, and the class stays in Opus1.io with its dates and settings.
Shelve the class
Disable Class stops self-enrollment and waitlist sign-ups, and removes the class from the active classes of any staff assigned to it. Use it when a class will not run this term but you may want it again. The class and its settings stay in Opus1.io.
FAQ
Can I change the class name or teacher before dates are added? Yes. Open the class and select Edit Class to change its name, primary staff, location, description, tags, class size, or age range. If you set a primary staff member, Opus1.io fills them in as the teacher when you add dates.
Can I set up every class for next term before the schedule is final? Yes. Add each class to its group class now, and add dates to each one as its day and time are confirmed. In Opus1.io, Duplicate Class copies a class you have already built, without dates or enrolled students, which saves time when several classes share the same settings.
Can I add more dates to a class later? Yes. Select Add Date(s) on the class again to add another block, such as a winter term after fall. Opus1.io adds the new dates to the same class.
Who can create a class without dates? In Opus1.io, Owners and Managers add, edit, and schedule classes. Staff can enroll students once a class has dates.
