How do I assign a primary staff to a session?

Assigning a primary staff to sessions ensures the correct staff is shown at session self-booking & enhances subscriptions & invoices reporting

Overview

Assigning a staff as the primary staff for a session will:

  • Cause only the primary staff to show as the applicable staff at session self-booking, ensuring that substitutes can be assigned without affecting self-booking
  • Enhance subscriptions reporting & CSV export by showing the primary staff for session subscriptions
  • Enhance invoices reporting & CSV export by showing the primary staff for session invoices
  • Enhance overdue invoices reporting by showing the primary staff for overdue session invoices

 

For businesses that pay their teachers on a revenue sharing model, assigning a primary staff to sessions will cause invoices & subscriptions reporting to show the primary staff, making it much easier to calculate payroll for session teachers.

 

Note: when primary staff are not assigned to sessions, session self-booking will dynamically display the staff assigned for near-future session dates, causing substitutes to show as the session staff in some cases. 

Assigning A Primary Staff To A New Session

 

To assign a primary staff to a new session, click the +Add Session button within the session service for which you wish to create a new session. Select a staff from the Primary Staff dropdown, and then click Submit button to save your session with an assigned primary staff. 

When you schedule dates for a session that has an assigned primary staff, opus1.io will assume that the primary staff should be assigned to newly scheduled dates unless removed:

To assign a primary staff to an existing session, navigate to the session and click the Edit Session button.

Next, select a staff from the Primary Staff dropdown and then scroll down and click Submit to save:

Updating / Removing The Primary Staff For An Existing Session

 

Note: updating or removing the primary staff for a session will update all pending & active subscriptions and any open and future invoices for that session. Ended subscriptions and closed invoices are not updated when the primary staff for a session is modified or removed.

 

To update or remove the assigned primary staff for an existing session, navigate to that session, click Edit Session, and then either update the assigned primary staff by selecting another staff from the Primary Staff dropdown or click 'X' next to the currently assigned primary staff. Finally, scroll down and click Submit to save your changes.

 

Reporting Primary Staff For Sessions

Once a primary staff has been assigned to a session, that staff will be linked to all pending and active subscriptions for that session as well as any open and future invoices. This enables invoices and overdue invoices reporting to be filtered by primary staff for session invoices. Additionally, primary staff will now display for session subscriptions in subscriptions reporting. Finally, overdue invoices, invoices, and subscriptions reports will now include primary staff for sessions in their CSV exports.
