Why is the Change recurring schedule button grayed out?

Can't move a student's weekly lesson to a new day because Change recurring schedule is grayed out? That lesson was already rescheduled on its own, so Opus1.io won't let it start a change to the whole series. Open a different upcoming lesson that's still on the regular day and time, click Change recurring schedule there, and pick the new weekday and time. Then move the earlier one-off lesson by hand if needed.

Overview

When a family tells you their child can't do Tuesdays anymore, the fastest fix in Opus1.io is Change recurring schedule. It moves every upcoming lesson in the series to a new weekday and time in one step, so you aren't dragging lessons around one week at a time, and the student keeps the same enrollment and billing.

Sometimes the button is grayed out. When you hover over it, Opus1.io shows this message:

This recurring appointment's date has been modified and cannot be changed on a recurring basis.

Nothing is broken, and you don't need to cancel and re-enroll the student. The lesson you opened has already been moved off its regular spot, and Opus1.io only starts a series-wide change from a lesson that still sits where the series expects it. The fix takes about a minute: open a different lesson in the same series and start there.

Why: This protects the one-off moves you made on purpose. If a lesson was shifted for a recital, a holiday, or a teacher's sick day, a later change to the weekly schedule won't quietly undo it.

Why the button is grayed out on this lesson

Each lesson in a weekly series has an original place: the weekday and time the series was booked for. Opus1.io calls each of these lessons a visit.

When you change a single lesson's date or time from the appointment form and leave Apply change(s) to future visits turned off, Opus1.io moves only that one lesson. It still belongs to the series, but Opus1.io now treats it as a modified lesson. That's the right behavior for a one-off move. If a student has a school concert on Tuesday and you shift that week's lesson to Wednesday, you don't want Wednesday to become the new normal.

Change recurring schedule skips modified lessons. That applies in two places:

  • On the modified lesson itself. The button is grayed out, which is what you are seeing.
  • When you change the series from another lesson. Any modified lessons stay exactly where you put them. They don't follow the series to the new day.

One kind of change does not count as a modification. If you change only the time of day, keep the same weekday, and turn Apply change(s) to future visits on, those lessons stay part of the regular series and Change recurring schedule stays available on them.

💡 Tip: The opposite problem can happen too. If a lesson was moved for one week and you later change the whole series, that one lesson won't move with the rest. See Change the weekly schedule from another lesson for how to tidy it up afterward.

How to tell which lessons were moved

You usually don't need to work this out ahead of time, because Opus1.io tells you as you go. Open any upcoming lesson in the series:

  • If Change recurring schedule is available, that lesson is still on the regular schedule and you can start the change from it.
  • If it's grayed out and the hover message appears, that lesson was moved on its own. Close it and try the next week's lesson.

When you do start the change, the Warnings section on the Change recurring schedule screen lists the lessons that were moved earlier and will stay where they are. That list is the easiest way to see every one-off move in the series at once.

Change the weekly schedule from another lesson

In this example, a student has a weekly 30-minute piano lesson on Tuesdays at 4:00 PM and needs to move to Thursdays at 5:00 PM starting next month. The Tuesday lesson on the 14th was already moved to Wednesday for a school event, which is why its button is grayed out.

  1. Open the client's profile and scroll to their upcoming schedule.
  2. Find another upcoming lesson in the same series that is still on the regular day and time, for example the Tuesday lesson on the 21st.
  3. Open that lesson and click Change recurring schedule.
  4. Set the new weekday and time. You can also change the teacher on this screen if the new day means a different teacher.
  5. Read the Warnings section before you save. Lessons that were already moved on their own are listed there, and they will stay where they are.
  6. Save.

Opus1.io moves this lesson and every later lesson that still follows the series to the new day and time. It also recalculates the student's upcoming invoices for the subscription, so the family is billed for the lessons on the new schedule.

After you save, check two things:

  • Lessons moved earlier. Any lesson listed under Warnings is still on its old one-off date. If it should match the new schedule, open that lesson and change its date and time on its own.
  • Upcoming invoices. Open the client's upcoming invoices and confirm the lesson count looks right for the new weekday, especially in a month where the old and new days fall a different number of times.

Same day, different time, teacher, or room

If the student is keeping the same weekday, you don't need Change recurring schedule at all. Use Update on the appointment instead. Opus1.io gives you two options on that form.

Just this one lesson. Change the date, time, location, room, or teacher, leave Apply change(s) to future visits turned off, and click Update. Use this for one-off moves like a teacher's sick day or a family vacation. This is also the action that marks a lesson as modified, which is why Change recurring schedule later turns gray on it.

This lesson and every lesson after it, same weekday. Turn on Apply change(s) to future visits (Location, Room, Staff and/or same day time change), then change the location, room, teacher, or time of day, and click Update. The date field locks when this toggle is on, and a note under it reads: "Use Change Recurring Schedule to make a recurring change of day."

Why: Keeping weekday changes and everything-else changes on separate controls stops a one-week fix from accidentally rewriting a student's whole year, and the reverse.

Which path to use

Opus1.io has a different control for each kind of schedule change. Match the family's request to the row below.

What the family asked for Use What happens
Move every lesson to a new weekday Change recurring schedule, started from a lesson still on the regular day This lesson and later lessons move. Modified lessons stay put. Upcoming invoices recalculate.
Move one week's lesson only Update with Apply change(s) to future visits off Only that lesson moves, and it becomes a modified lesson.
Same day, new time, teacher, room, or location going forward Update with Apply change(s) to future visits on This lesson and later lessons change. They stay on the regular series.
Longer or shorter lessons Subscription Replace The student moves to a different service, such as 30 to 45 minutes.
New instrument, or several changes at once Subscription Replace The old enrollment ends and a new one starts, with no gap in the student's enrollment.

FAQ

Can I make Change recurring schedule work on the lesson I already moved? No. Once a lesson has been moved on its own, it can't start a change to the whole series. Start from another lesson in the same series, then move the earlier lesson by hand if it should match the new day.

Every lesson I open has the button grayed out. What now? That means each upcoming lesson in the series has been moved one at a time. Contact the Opus1.io support team with the client's name and the series, and they can help you work out the cleanest way to reset it. Subscription Replace is often the cleanest route, because it starts a fresh series on the new day without a gap in the student's enrollment.

Will this change lessons that already happened? No. Change recurring schedule only moves the lesson you start from and the lessons after it. Past lessons, and any earlier lessons in the series, stay as they are, so your attendance history is untouched.
