# Why are lessons still scheduled on my closed dates?

## Added a holiday, break, or snow day closure but your lessons and classes still show on that day? Closed dates stop new bookings, but they do not change lessons already on the calendar. Go to Settings \> Locations / Rooms, open the location, select the warning under Closed Hours / Days, and choose Set All As Closed. No credit is issued and families are not notified, so send your own note.

#### **Overview**

Closed dates tell Opus1.io that a location is shut for a holiday, a school break, or bad weather. Once a closure is saved, online booking stops offering that time and new recurring lessons skip it.

Lessons and classes that were already on the calendar before you added the closure are a separate step. They stay **Active** until you mark them **Closed**. Until you do, teachers see them on their schedule, families may expect to come in, and they still count on invoices and in payroll.

**Why:** Closing the lessons in bulk keeps the calendar, the month's invoices, and teacher pay honest about a day nobody is teaching, without editing lessons one at a time.

---

#### **Mark the existing lessons Closed**

1. Go to **Settings \> Locations / Rooms** and click **Update** next to the location.
2. Scroll to **Closed Hours / Days** and find the closure you added. If you only just added it, click **Update Business** at the bottom of the page first so the closure is saved.
3. If any lessons still fall inside that closure, a red warning appears beside it, such as **3 session/appts not marked as closed**. Select the warning.

   ![Screenshot 2026-10-21 at 11.19.35](https://kb.opus1.io/hs-fs/hubfs/Screenshot%202026-10-21%20at%2011.19.35.png?width=670&height=91&name=Screenshot%202026-10-21%20at%2011.19.35.png)
4. The **Location Closure** window shows how many private lessons and class dates are still active, and how many are already Closed.

   ![Screenshot 2026-10-21 at 11.20.11](https://kb.opus1.io/hs-fs/hubfs/Screenshot%202026-10-21%20at%2011.20.11.png?width=500&height=270&name=Screenshot%202026-10-21%20at%2011.20.11.png)
5. Click **Set All As Closed**.

The warning clears once every matching lesson at that location is Closed. Repeat this for each closure, and for each location that has its own closed dates. A studio with two locations closed for Thanksgiving will have two closures to work through.

---

#### **What families and teachers see afterward**

Each lesson stays on the Opus1.io calendar with **(closed)** in its title. It is still part of the student's schedule, and the student stays enrolled in the group class. The lesson is simply marked as not happening.

⚠️ **Warning:** **Set All As Closed** does not send an email or text to families or teachers. If you want households to know the studio is closed, and whether you are offering a makeup, send that message yourself.

---

#### **Which lessons are included**

**Set All As Closed** covers lessons at that location whose start time falls inside the closed hours.

- An all-day closure covers every lesson that starts that day.
- A partial-day closure covers lessons that start inside the window. A 3:30 PM lesson at a studio closing at 4:00 PM is left as scheduled, even though it runs into the closure.
- Lessons at a different location are left as scheduled.
- Lessons that are already Closed, deleted, or on a subscription hold are left as they are.
- A closure dated in the past also closes lessons that already happened on that date, including lessons where attendance was taken. Use a past date only when those lessons should no longer count.

---

#### **Closed or staff canceled: which path to use**

Closed and staff canceled are two different statuses in Opus1.io, and they treat families differently.

| Situation | Use | What the family gets |
| --- | --- | --- |
| Your policy is that holidays are not made up | **Set All As Closed** | No credit. The lesson simply does not happen. |
| Your policy is to give a makeup for a holiday or weather closure | Batch cancel from the main schedule | Credits issued under each service's staff cancellation policy |

If you plan to give makeups, still add the closed dates to the location so booking stops, but do not mark the lessons Closed. Batch cancel them from the main schedule instead. See [How do I cancel a full day of appointments/group classes?.](https://kb.opus1.io/how-do-i-cancel-a-full-day-of-appointmentssessions?hsLang=en)

---

#### **Billing after you close lessons**

What happens to the month's invoice depends on how the family's payment plan is priced.

| Payment plan | What happens to an unpaid invoice |
| --- | --- |
| Per lesson, where the monthly charge is based on the number of visits | The Closed lesson drops out of the visit count and the open invoice is recalculated. |
| Flat rate, including tuition-table pricing | The invoice amount stays the same. |
| Any invoice that is already paid | It is left unchanged. |

**Set All As Closed** does not create a makeup credit, a cancellation credit, or a refund. If your policy is to reduce a flat monthly charge for a closed week, add that credit or discount to the family's invoice yourself.

After closing lessons, open one affected family's unpaid invoice. On a per-lesson plan, confirm the visit count dropped. On a flat-rate plan, decide whether the month's charge should stay as it is.

---

#### **Teacher pay for closed lessons**

Opus1.io leaves Closed lessons out of payroll by default, so a teacher is not paid for a holiday nobody taught.

If your studio pays teachers for closure days, turn on **Count location closures?** on that teacher's pay rate. The setting appears when advanced payroll is enabled for your school.

**Why:** Some studios pay teachers a steady salary through holiday weeks to keep good teachers. Others pay only for lessons taught. The setting lets you choose per teacher rather than fixing payroll by hand each month.

---

#### **If the warning is still there**

The closure is saved, but some lessons inside it are still Active. Select the warning and click **Set All As Closed** again.

If the count looks lower than expected, check two things: that the closure covers the full day rather than a few hours, and that you are on the location where those lessons are booked.

---

#### **If the closure was added by mistake**

Edit or remove the closed hours and click **Update Business** so online booking opens again. Lessons you already marked Closed stay Closed. Removing the closure does not reopen them.

To put one lesson back, open it from the main schedule, click **Override Appointment Status**, and set it to **Active**. No email is sent. On a per-lesson plan, check the family's open invoice afterward. A class date is added back automatically. A private lesson may need you to check that it is back on the invoice before it goes out.

If a large number of lessons were closed by mistake, contact Opus1.io support before changing them one at a time.

#### **Add closed dates before you build schedules**

The easiest fix is to avoid the problem. Add the year's holidays and breaks to each location before you book recurring lessons or set up group class dates.

When **Skip booking when location is not available** is on for private lessons, or **Skip scheduling date(s) when location is not available** is on for group classes, Opus1.io leaves the closed days off the schedule. Both are on by default. Staff can still book a lesson on a closed day on purpose. They see a warning and can continue.

---

#### **FAQ**

**Who can mark lessons Closed?**
Owners. Closed hours are part of the location settings, which only owners can edit.

**Can I close one teacher's lessons or one room instead of the whole location?**
No. A closure applies to everything at that location. If one teacher is out, assign a substitute or batch cancel that teacher's lessons from the main schedule.

**We had a snow day. Can I close lessons after the fact?**
Yes. Add closed hours for that date, save them, and click **Set All As Closed**. Because the date is in the past, lessons where attendance was already taken are closed too, so check that is what you want first.
