How do I rent out a room in my studio?
Opus1.io has no separate rental inventory. To rent a room out — to a band, an outside teacher, or a parent — create a rental service, add it to the rooms you rent, and book it. The booking is what holds the hour in Day View - By Room and invoices the renter. Use an Appointment service when the renter picks the time, a Group Class service when you want a roster.

Overview
A band wants Studio A on Saturday from 2 to 4. A teacher who is not on your payroll wants a room after hours. The recital hall sits empty on Sundays and someone offers to pay for it. Two things have to happen every time: the front desk has to see that the room is taken so nobody books a piano lesson on top of it, and the renter has to get a bill.
There is no rental inventory to switch on in Opus1.io. Rooms exist so that lessons and classes land in the right space — the drum set in the drum room. To rent a room out, you create a service whose job is the rental and then book it the way you book a lesson or a class. That booking is the record that holds the hour and creates the invoice.
Why: One record does both jobs. A note on the calendar tells the front desk the room is busy but never bills anyone. A monthly charge bills the renter but never holds an hour. Only a booked service does both, which is why this is the supported setup rather than a workaround.

Which path to use
The service type is the decision. Pick it from how the school sells the time, not from which one sounds more like a rental — neither one is "the room rental feature."

Appointment or group class?
Two of the four can hold a room and bill for it, so most of the decision is between those two. The short version: an Appointment sells an hour to one payer, and a Group Class sells seats in a series of dates.

Each path costs you something. An appointment cannot put five unrelated players on one booking, cap a group, or bill a whole term up front. A group class asks for a second step at every sale, and an unsold date left on the calendar quietly blocks that room for lessons.
✅ Best practice: For one payer renting an hour at a time, the appointment path is less work every single time, which is why it suits most studio and rehearsal rentals. Reach for a group class when the roster, the cap, or term billing is the actual point of the arrangement.
Setting up the rental
Do these three steps once. The third one applies to the appointment path only.
1. Create the rental service
Go to Settings > Services and click Add Service, then choose Appointment or Session from the list of service types.
Name it for what you are actually selling, so it reads correctly on an invoice and in a reminder email: Rehearsal - 2 hours, Studio Rental - 60 min. Duration is fixed on the service, so if you rent in one-hour and two-hour blocks, that is two services — the same way a 30-minute and a 60-minute lesson are two services.
Then set it up as a rental rather than as a lesson:

2. Add the service to the rooms you rent
Creating the service does not attach it to any room. Go to Settings > Locations/Rooms, click Update on the location, edit each room you rent out, and add the rental service under Applicable services. Click Update Location at the bottom of the page to save.
Add it only to the rooms you are willing to rent. If Studio A is the only space you sell, only Studio A gets it.
⚠️ Warning: If the rental service is not applicable to the room, booking it there warns Service not available for room. The warning does not stop the booking, and it is not applied at self-booking at all — so finish this step before you let anyone book a rental themselves. 3. Appointment path only: add a placeholder staff profile
Appointments are booked against a staff member's availability, so an appointment-based rental needs a staff profile to hang on. Create a placeholder rather than using a real teacher, whose own calendar would otherwise fill up with rentals they are not teaching. Some of our team call this a dummy profile; it is a calendar hook, not a person.
Go to Staff > Add Staff and create a profile named something like Room Rentals. On that profile:
- Set the role to Limited Staff. Nobody logs in as this profile.
- Do not send an invitation.
- Leave the pay rate empty, so rentals are not treated as teaching hours at payroll.
- Turn off Can visitors see this staff? and Can clients see this staff? unless you are offering self-booking.
- Add open hours covering the times rooms can be rented. Without hours, there is nothing for suggested availabilities or self-booking to offer, though a Manager or Owner can still book over it.
⚠️ Warning: One placeholder profile can only be in one place at a time. If you rent Studio A and Studio B as appointments in the same hour on the same profile, the second booking warns Staff is already scheduled. Add a second placeholder profile, or use the class path, which does not need a staff member at all.
The class path skips this step entirely. You do not need to assign a teacher to a rental class.
4. Make sure the renter exists as a client
Both paths bill a client. Create the person who pays — the band leader, the outside teacher, the parent — as a client in Opus1.io before you book. A staff-only block on the calendar cannot invoice anyone.
Renting by the hour: the appointment path
This is the path for selling time: a walk-in two hours on Thursday, a standing Tuesday evening, a prepaid pack of hours drawn down whenever the room is free. It is the same machinery as a private lesson, aimed at a room instead of a student.
One appointment carries one client, and semi-private appointments are for members of the same family only — so a band of five unrelated players cannot all appear on the booking. Book the payer, and put the other names in a note if the front desk needs to know who is coming.
- Finish the setup above with Appointment as the service type, including the placeholder staff profile.
- Click Book Appointment.
- Set the service to your rental service, the staff to the placeholder profile, the location and room to the space being rented, and the client to whoever is paying.
- Pick the date and start time. For a standing slot, turn on the recurring option and choose weekly or biweekly and an end date. That option only appears if the service has a recurring payment plan. See How do I book a recurring appointment?
- Choose the payment plan and finish with the enroll-and-pay option your school uses.
If the room already has something in it, Opus1.io warns Room conflict. You can still save, which is deliberate — an Owner sometimes needs to double-book on purpose — so treat the warning as the thing to check rather than something the system will refuse.
To let renters book themselves, finish everything above first, then make the service and the placeholder profile visible, enable the plan for self-booking, and build a booking link filtered to the rental service. See Creating Self-Booking Links.
Renting to a group: the class path
Choose this path when the roster, the cap, or the term billing is the point of the arrangement: a rehearsal group drawn from several families, a standing Saturday with a fixed number of seats, or a term you want to bill in full before it starts.
⚠️ Warning: A scheduled class date holds the room from the moment it exists, whether or not anyone is enrolled. Create the dates when the time is sold. Building out every Saturday in advance in the hope that someone books them will block those rooms for lessons until you delete them.
That is the real cost of this path compared with appointments, where one Book Appointment click both sells and holds the hour.
- Finish the setup above with Group Class as the service type. Skip the placeholder staff profile.
- When the rental is sold, add the date or dates for that window in the room being rented, with the class size set to 1 for exclusive use, or higher if you want a roster.
- Click Enroll in class and enroll the payer, choosing the payment plan. See How do I enroll my clients into session services?
- Add the rest of the group to the roster only if you want every name on the calendar. Each person you enroll can be billed, so enrolling the payer alone is the simpler way to get one invoice.
Self-booking on this path means enrolling into dates that already exist, not picking any free hour. Since we suggest creating dates only when they sell, most rental classes stay front-desk booked.

What does not hold a room
Four things look like they should block a room in Opus1.io and do not:
- A Subscription Only service. It bills on a schedule and never touches the calendar. It is the right record for a monthly instrument or locker fee, and the wrong one for Saturday from 2 to 4.
- A note on the calendar. Useful for listing the other band members next to a booking. On its own it neither holds the room nor invoices anyone.
- Blocking a teacher's availability. That closes one staff member's calendar. Another teacher can still be booked into the same room.
- An unsold class date. The reverse problem: it holds the room before anyone has paid for it.
One more thing this setup does not change: your Opus1.io subscription price is based on your number of locations and active clients, so a placeholder staff profile costs nothing. Adding a whole location would change it — which is another reason to keep rentals on the rooms you already have.
FAQ
Is there a room rental feature I should be turning on? No. Rooms plus a rental service is the supported setup, and the service type you choose is what makes it behave like an hourly rental or like a term of rehearsals.
We already charge for instrument rental every month. Is that this page? No. A monthly instrument, locker, or membership fee is a Subscription Only service, covered in How do I charge my clients once per month or year for rentals or membership fees?. Use this page when the room itself has to show as taken. A family can have both.
Should I create one rental service or one per room? One per duration and price is usually enough — Rehearsal - 2 hours covers every room that rents at that rate, since the room is chosen at booking. Split it when Studio A costs more than Studio B, or when you want a self-booking link that can only sell one space.
We have a band of five. Who do I enroll? Enroll whoever is paying. That gives you one client, one invoice, and a held room, and it works on either path. Put the other four on a roster only if the school wants every name on the calendar, which means the class path and a decision about who gets billed.
Does a rented hour count toward room utilization? Yes. Utilization counts time in the room, so rentals raise it alongside lessons. Tag the rental service if you need to report on the two separately.
