How do I enroll a student on a past class date?
Staff can put a student on a class that has already happened; families cannot. Open that date on the calendar and use Enroll Clients when they should be on a past roster. Opus1 enrolls from the date you pick forward, and billing follows that date — so on a year-round class, reaching too far back can roster and bill months they never attended.

Why you'd enroll on a past date
Kids Guitar meets every Tuesday. It may be a fall term with an end date. It may have been running since January with no end date. Either way, the software does not care that "the class already started." It cares which occurrence is this student's first visit.

If you pick a date too far back — the class's original start, or the first Tuesday of the year — Opus1 puts her on every occurrence from that date forward. On a class that has been running all year, that can be months of past Tuesdays she never attended, and a quote that bills them. That is the mistake this article exists to prevent.

Who can enroll on a past date
This page is staff only. The public group-class link never lists a class date that has already passed. A parent cannot back-date last Tuesday.
Self-booking may still offer a future remaining date if the enrollment window is open. That is not a back-date.

Opening Enroll Clients on the class's first-ever date because that is "the class" puts them on every date from then forward. On a class that started in January, that is every Tuesday since January.
Putting them on a date that has already happened
When this applies: last Tuesday they sat in. Or you took cash in March and never enrolled her. Or the teacher has been marking a name that is not on the roster. You need that date and every scheduled date after it — whether the class ends in December or has no end date.
Where: Calendar → the specific class date (even if it is in the past) → Enroll Clients
What you do
- Open that occurrence — the Tuesday that already happened — not the class editor's general enroll, and not the first date the class was ever created.
- Click Enroll Clients. The date strip is anchored on that class date.
- Choose the student. Leave that past date selected as the start (or select drop-in dates if this was only a one-off).
- Continue to payment. They will be enrolled on that past date and every scheduled date after it (until the class end, if it has one).
- Read the quote. A variable-rate plan counts from that past date forward, so last Tuesday is in the bill. That is usually what you want if they attended or you are backfilling. If studio policy is "we don't charge for a complimentary sit-in," add a one-time Plan discount for that one class — do not pick a later start date, or you will drop them off last Tuesday's roster.
Once you've done it: the past occurrence has them on the roster. You can mark attendance. The quote included that date unless you discounted it.
Use this option only when the past date is real. Using it as a shortcut to "the class" on a year-round class's original start puts months of missed weeks back on the bill.
Starting them on a later date instead
When this applies: Maya has not been. You do not want her on last Tuesday, or on the January–August Tuesdays of a class that runs all year. Her first class is the next remaining one.

What you do
- Choose the group class service, then the class (the offering — "Kids Guitar – Tuesdays 4:00 PM", whether that is Fall 2026 or an ongoing class).
- Choose the student.
- Under Select a start date, tap the next remaining class, not the first date the class was created. Use the arrows if the date you need is outside the current window — you can page back as far as the class start. On a year-round class, do not page back to that class start unless they owe every date from then forward.
- Continue to payment. Pick the same plan you sell for this class.
- Read the quote before you charge. Confirm it matches What the quote will do for that plan. Add a discount only if the plan is still charging for dates they will not attend.
- Confirm. They are on the roster from that start date forward. Earlier dates stay empty for this student.
Once you've done it: the subscription's first visit is the date you tapped. Invoices use that date. Attendance on earlier Tuesdays will not show Maya.
If the class is closed
A class with no upcoming dates cannot be enrolled onto at all. The enrollment form needs a date to anchor to, so once a term has finished — or a year-round class has been closed off — there is nothing to select, even for the date in the past you actually want.
The way through is to reopen the class briefly, enroll, then close it again:
- Add a future class date to the class. Any date will do; it exists only so the class has something upcoming.
- Enroll the student as normal, choosing the past date they should start from. Use the calendar walkthrough above if they belong on a date that has already happened.
- Check the quote before you confirm. The temporary date is a real class date while it exists, so on a variable-rate plan it can be counted as one more billable class. Adjust or discount before confirming rather than after.
- Remove the temporary date once the enrollment is saved.
Do step 4 the same day. While that date exists it is a real class — it shows on rosters, and on an open class families may be able to book it.
What the quote will do
The start date is half the job. The plan is the other half. Studios use a mix — monthly membership on year-round classes, flat or variable full-payment on terms and camps, drop-in per date — and none of those is "the usual one." Same start date, four different bills. Read the quote for this class's plan; do not copy last week's discount onto a variable-rate enrollment.

Open the quote and read the line. If it still shows a full packaged amount after you picked next Tuesday, you are on a flat full-payment plan. That is expected. Discount it, or pick a variable-rate plan if you want the math automatic next time.

Schools that take rolling enrollment on year-round classes usually keep a monthly plan with first-month visit proration, or a variable-rate plan on a dated term, so front desk does not calculate a discount every time someone starts mid-stream.
When you should add a discount
When this applies: the plan is still charging for dates they will not attend (or should not pay for), or you owe them a scholarship that is a separate decision from which dates they are on.

Dates they should not pay for (flat full-payment or a complimentary sit-in)
- Click Add Discount.
- Apply To: Plan — that is tuition. Signup is the registration fee. Do not put missed Tuesdays on the signup fee unless you are also waiving registration.
- Amount (dollars) for "3 classes × $25", or percentage if that is how you publish mid-stream rates. Dollars are easier to defend when a parent asks.
- Recurring: No. This is a one-invoice correction. Recurring Yes on a monthly plan keeps taking that amount off October, November, and every month after — including on a year-round class that never ends.
- Reason: Enrolled Sept 16 from Sept 2; 2 sit-in classes not billed or Joined remaining 9 of 12. You will thank yourself in March.
- Leave Discount Should Expire off for a one-time dates adjustment. Expiration is for scholarships with an end date.
- Watch the quote update. Confirm the remaining due is what they should pay, not that amount minus the discount twice.
Scholarship, sibling, staff child (not which dates they are on)
Use the same Add Discount button, but:

A sibling discount and a "don't bill last Tuesday" discount can both exist. They are different jobs. Do not reuse the sibling preset for a backfill.
You can also add a recurring discount after enrollment on the student's subscription — How do I add a recurring discount to a subscription?. Prefer adding a dates adjustment at checkout so the first invoice is already right. Fixing it later means editing or crediting an invoice that already went to the parent.
Invoice note: optional, recommended on flat-plan backfills. One line: "Enrolled 16 Sep starting 2 Sep; tuition reduced for 2 classes already held." The parent sees it. Your bookkeeper sees it.
Monthly plans and first-month proration
When this applies: Kids Guitar is $120 / month, year-round. Maya's first visit is September 16 — whether that is a backfill of last Tuesday plus the rest of the month, or a start on the 16th with no past dates. You want this month to be the remaining Tuesdays from that start date, and October to be the full $120.
On the payment step, Skip first month proration appears only when the plan is a flat rate with first-month proration (daily or by number of visits).

Leave it off unless studio policy is "we don't prorate, ever." Turning it on and adding a one-time discount is two ways to do the same job. Pick one.
If Skip first month proration is not on the form, this plan does not prorate — it is either variable remaining-visits, drop-in, or flat with no first-month proration. Use the table in What the quote will do.
Monthly invoices still issue on the 1st. Autopay can charge on another day; the invoice date does not. Choosing the Right Payment Plan for your Service covers that split.
Families cannot back-date
Two different family-facing limits. Neither one is a staff limit.
Past dates. The public group-class link never offers a class date that has already passed. A parent cannot back-date last Tuesday, comp a sit-in, or add themselves to a roster after the fact. If they need that date, you enroll them from the calendar — Putting them on a date that has already happened.
Remaining (future) dates. Families can be blocked even when the next Tuesday is still ahead. On the service, How many days after the start of the class can a client have their first scheduled date of the class? (enrollment window / grace period) is that cutoff:
- Set to 1 (or similar): they must start on or near the class's first class. After that, self-booking says it is too late. Awkward on a year-round class whose "start" was January.
- Set to 21: they can join through about the third weekly class after the class start.
- Off / not set: they can self-enroll onto a later remaining date, still subject to min/max lead time. Typical for rolling / year-round enrollment.
That setting does not stop Enroll In Class or calendar Enroll Clients. If the parent is at the desk after the window — or they need a date that has passed — enroll them here. Do not tell them to try the website again.
Min/max lead time ("no less than X before," "no more than Y before") is a different pair of toggles. Those also apply to self-booking. Staff enrollment still goes through.
What this won't do
- Change the class's start or end date. A year-round class keeps running. A fall term keeps its range. Only this student's first visit moves.
- Un-enroll them from dates they should not be on if you already enrolled them from the class start. That enrollment already billed those weeks. Unenroll/re-enroll, or credit the invoice — do not tap Enroll In Class a second time.
- Prorate a flat full-payment plan by itself. The remaining-visit math is a variable-rate plan, or a discount you add. Flat means flat.
- Keep taking money off future months unless Recurring is Yes. Dates they should not pay are Recurring No — especially on a year-round monthly class that will invoice forever.
- Waive the registration fee because you discounted Plan. Signup is a different line. Discount Signup separately if you are waiving it.
- Let a family back-date themselves. Self-booking has no past-date picker. Staff is the only option for a date that has already passed.
- Reopen self-booking for every family. Enrolling one student as staff does not lift the enrollment window.
- Override a full class. If there is no seat, use waitlist or raise capacity on the class. Do not enroll them onto a past date as a way around capacity on future dates — future dates still need a seat.
- Transfer an already-enrolled student to a different weekday. That is Transfer, not a retroactive enroll.
FAQ
I enrolled them and they were added to Tuesdays from January. The start date was the class's original start, or you used Enroll Clients on that first occurrence. On a year-round class that can be months of past dates. Unenrolling and re-enrolling from the first date they should actually be on is the clean fix if nothing has been paid. If the invoice is already paid, credit the extra classes instead of stacking a second enrollment.
The quote is still the full semester / package price. You are on a flat full-payment plan. Pick the correct start date anyway (so the roster is right), then add a one-time Plan discount for dates they should not pay. Or enroll on a variable-rate plan if the service has one.
This class has no end date. Does that change anything? The start-date rule is the same. Do not page back to whenever the class was created. Monthly plans are the usual bill; leave Skip first month proration off. A Recurring Yes discount will hit every future month until you take it off or it expires.
The parent already paid cash for a drop-in last week. Now they want the rest of the class. Enroll from that past date (calendar → Enroll Clients) or from the next class if last week should stay a separate drop-in. Do not double-charge last week: use account balance, a credit, or a one-time Plan discount for the amount already collected.
Can the family finish this on the self-booking link? Not if the date they need has already passed — families cannot back-date. If they only need a future remaining class, they can self-enroll only while the enrollment window still includes that first date. After that window, or for any past date, staff enrolls. Promotions on the public link do not replace a Plan discount for dates they should not pay.
