How do I edit a teacher profile in the Staff Multi-Editor?
Edit a teacher's contact details, role, hours, pay rate and booking visibility in the Staff Multi-Editor, which replaces the long staff form with five tabs. Open it from Staff > All Staff, or land there automatically after Bulk Import Staff. The list flags what each teacher is still missing. Check several staff cards to email, text or export them. Saving a tab never sends a login invite; the envelope on the profile does.

Overview
A teacher's profile in Opus1.io holds several different jobs. A new guitar teacher needs an email address before they can be invited, available hours before families can book them, and a pay rate before payroll is right. The Staff Multi-Editor splits those jobs into five tabs, so you can fix the one thing you came to fix and save it without scrolling past everything else.
Why: A roster that looks complete is not always ready. After an import, every teacher appears on All Staff, but none of them can be booked, paid or logged in yet. The editor shows you exactly what each person is still missing, so a new faculty does not sit half-finished while families try to book.
There is nothing to turn on. Every Opus1.io school has the Staff Multi-Editor on every plan.

Who can edit what
Opus1.io keeps the same roles as before. A tab or field above your role appears disabled rather than hidden, so you can see it exists but cannot change it.

ℹ️ Info: The SMS button appears only when Instant Messaging is on for your school. A Manager whose payroll access has been turned off will not see pay rates.
Finish the teachers you just imported
Who: Owner, since bulk import is an Owner action.
When an import finishes, Opus1.io opens the editor showing only the people that import just created, not your whole roster. The import wrote names, roles, emails and other basics. It did not add hours, pay rates, services or a login.

- Stay on the editor that opens.
- Read the flags on each person. They tell you what is still missing:
- Service availability means families cannot book them yet.
- Pay rates means payroll has nothing to calculate for their lessons.
- Email means you cannot invite them to log in.
- Not visible to visitors and/or clients means they will not appear on self-booking.
- Open one person, go to the tab for the gap you are filling, and save that tab.
- Move to the next person the list is still flagging.
💡 Tip: Leave visibility off until a teacher's hours are real. A "not visible" flag on day one is often exactly what you want, because it keeps a new teacher off your booking page until their schedule is ready.
Find a teacher on All Staff
Who: Staff, Manager, Owner.
All Staff is where you return for everyday edits, and it shows your full roster rather than just the last import.
- Go to Staff > All Staff.
- Type a first name, last name or email address into Search staff...
- To narrow the list to a group, use Filter staff by tags, Filter staff by role or Online in last 30 days.
- Open the person's card. Their profile opens in the tabbed editor.
If nobody matches, the page shows No staff found. The Online in last 30 days filter only shows who has logged in recently; it does not change anyone's profile.
The same missing-item flags from an import appear here too, which makes All Staff a quick way to spot a teacher with no hours, no pay rate, no email, or visibility still off.
What each tab is for
Each tab covers one job. Save the tab you changed before you move to another person.

Only a first name and last name are required. Everything else can wait, and Opus1.io will keep flagging what is still waiting.
Info
Use Info when a teacher changes their phone number or was imported without an email address. Each Email address must be unique within your school, so two people cannot share lessons@yourschoo.com. If the address already belongs to a client, do not create a second person; use make staff member on that client's profile instead.
Business Info
Staff Role controls what someone can do after they log in. It is not their job title.

Only an Owner can make someone a Manager or an Owner.
The two visibility toggles control self-booking. Can visitors see this staff? covers your public booking page, and Can clients see this staff? covers families who are logged in. Turning visitor visibility on also turns client visibility on. With both off, the teacher's hours are usable by your staff but invisible to families.
Tags and the short secondary label, such as an instrument or campus, appear on the staff card and can filter All Staff. They do not hide anyone from self-booking.
Hours & Pay
Who: Manager, Owner.
Available Hours/Days are the times a teacher can be booked. Each block needs a location, and you add the services families can book in that window.
Unavailable Hours/Days cut a gap out of hours that already exist, such as a lunch break or a standing conflict. You only need a block to override hours you have already given. If a teacher never works Sundays, leave Sunday out of their available hours rather than blocking it. A block makes them unavailable at every location; the location on a block only makes the calendar easier to read.
Self-booking never offers a time outside available hours or inside a block. Staff, Managers and Owners can still book over a block, and Opus1.io may show a warning when they do.
Staff Pay Rates are what your school pays the teacher. They do not change what families pay, which comes from the service's payment plan and the student's subscription. Each teacher can have only one default pay rate. Staff Commission Rates appear here if your school pays commissions.
For vacation requests, use Staff > Time Off instead of blocks.
Notifications
Choose which email and text notifications this person receives. Owners and Managers can also opt out of the emails Opus1.io sends about everything happening at the school. Changing a setting here does not notify the teacher; it only changes what they receive from now on.
Advanced Settings
For Limited Staff, this is where you allow extras such as seeing their own students' contact details, taking attendance, leaving comments, or updating and cancelling their own lessons. See Customizing Limited Staff Permissions for what each one does.
For a Manager, this is also where Can view staff rates and process payroll and Can update staff rates live.
Deactivated (subtitle: If toggled, only managers will see this staff) turns both visibility toggles off. The teacher drops off self-booking but stays in your lesson and payroll history.
Set hours from the calendar
Who: Manager, Owner.
If you can already see the gap on the calendar, you can start there instead of on All Staff.
- Open a calendar view where each column belongs to one teacher, such as the main calendar grouped by staff.
- Click or drag across an empty time range. Do not click an existing lesson.
- Choose Set Staff Availability to make that time bookable, or Block Staff Availability to make it unavailable.
The menu names whose schedule you are editing and the time you selected. Hours & Pay then opens for that teacher with the start and end times filled in. Adjust them if your click was only a rough window, then save the tab. Nothing changes on the calendar or in self-booking until you save.
Email, text or export several teachers
Who: Staff and above for email and text; Manager and Owner for export.
These actions work on the list you are looking at, so filter first and then check the cards you mean.

The number on the button counts only the people who will actually receive it: those with an email address for email, or a phone number for text. Read it before you send.
⚠️ Warning: If nobody is checked, Opus1.io treats the action as covering everyone in the current list. Filter the list down to the group you mean, or check the cards individually, and then read the count on the button.
If the list is still loading more people, click Load all Staff first. Otherwise the message or export only includes the teachers already on screen.
Invite a teacher to log in
Saving a tab updates the teacher's profile, and new hours and visibility apply to self-booking straight away. It does not send them a login. A teacher without a login is still a real teacher on your calendar; they just cannot see it themselves.
When they are ready to log in:
- Open their profile.
- Check that Info has an email address.
- Click the envelope icon, reset password / send invitation email.
- Confirm.
Opus1.io shows Password reset and email invite sent! and emails the teacher a link that lasts seven days. Sending it resets any password they already had.
FAQ
Where did Update Profile and Update Staff go? The single long form is gone. Opening a teacher now takes you to the Staff Multi-Editor, where the same settings are split across Info, Business Info, Hours & Pay, Notifications and Advanced Settings, and each tab is saved on its own.
Why is every new teacher set to Limited Staff? Limited Staff is the default role for anyone new, because it only shows a teacher their own students and schedule. An Owner or Manager can change it on Business Info.
Does changing a teacher's color change lessons already on the calendar? No. A new Calendar color applies going forward and does not restyle lessons that are already booked.
