How do I change the price for just one or two invoices?
Charge a family more or less for a month or two without changing their regular price. To lower a bill, open the invoice and click ADD DISCOUNT for the amount to take off. To charge more, send a separate one-time invoice for the extra amount. Leave How much should be charged? on the subscription alone, because changing it rewrites every open invoice for that student.

Overview
Sometimes a family should pay a different amount for a month or two and then go back to normal. A teacher was out for two weeks, a student started late, you promised a half-price month to keep a family through a rough patch, or a lesson length changed for a single month.
In Opus1.io, the regular price lives on the student's subscription, and each month's bill is an invoice created from it. The fix for a one-off is almost always on the invoice, not the subscription. A discount on an invoice changes that bill and nothing else, so the next invoice comes out at the regular price on its own and nobody has to remember to set anything back.
Why: A price change on the subscription is permanent until someone reverses it, and it reaches every open invoice at once, including older unpaid ones. A discount on the invoice cannot leak into next month.
Which fix to use
The right fix in Opus1.io depends on whether the invoice exists yet, and whether the family has paid it.
| Situation | What to do | What happens next month |
|---|---|---|
| The invoice exists and has not been paid in full | Add a discount to that invoice | Regular price |
| The family already paid the invoice | Refund the difference and close the invoice | Regular price |
| The invoice has not been created yet | Discount it when it appears, or add an expiring discount to the subscription | Regular price once the discount ends |
| The bill should be higher, not lower | Send a separate one-time invoice for the extra amount | Regular price |
| The family is stepping away for a while | Use a subscription hold instead | Billing resumes when the hold ends |
Lower an invoice that is already open
This is the most common case and the safest fix in Opus1.io. It works on any invoice that still has an amount due.
- Open the payer's profile. That is usually the parent, not the student.
- In Invoices, click Update on the invoice. If it is not in the short list, click See all invoices.
- Click ADD DISCOUNT.
- Enter a Reason, such as Teacher out two weeks. A reason is required.
- Enter the Discount amount. This is the amount to take off, not the new price. A $160 Monthly Tuition invoice that should be $120 needs a $40 discount.
- Click Add discount, then check that Remaining due shows the amount you expect. Repeat on the second invoice if there is one.
If the invoice has sales tax, enter the amount before tax and Opus1.io adds the tax for you.
The discount cannot be more than what is still due on the invoice. If auto-pay is on, the family's saved card or bank account is charged the lower amount when the invoice comes due. Nothing changes on the subscription, so the next invoice is created at the regular price. If you made a mistake, you can remove the discount and enter it again while the invoice is still open.

Making an invoice $0
To waive a month entirely, discount the full amount still due, or use the comp invoice button, which applies a 100% discount in one click. Then click Close and confirm on the pay screen. A $0 invoice stays Open until someone closes it, so it keeps sitting in your open invoice lists and causes confusion if auto-pay is on.
When ADD DISCOUNT is not available
You can only discount an invoice that is Open. Invoices that are Closed (paid), Voided, or Processing (a bank payment still on its way, usually three to five business days) cannot be discounted. Some payment plans may also be set up without discounts.
Lower an invoice the family already paid
Once an invoice is paid, Opus1.io treats it as a record of what was charged, so you give the difference back instead of changing the bill.
For a card payment, open the invoice, click Refund on the payment, turn on Refund Partially, enter the difference, and choose Refund and Close Invoice. Opus1.io returns the money, adds a matching discount, and closes the invoice so auto-pay cannot charge that amount again.
Cash, check, and bank payments can only be refunded in full. If you only want to give back part of one of those, add a monetary credit to the payer's account for the difference instead. Credits are not applied to the next invoice automatically, so apply it when the family next pays.
Lower the next one or two invoices
Opus1.io creates each new invoice when the current one is paid or when the next billing date arrives, so next month's bill may not exist yet. You have two ways to handle it.
Discount each invoice when it appears
The simplest choice. Wait until the invoice shows up on the payer's profile, then follow Lower an invoice that is already open. Nothing else on the account is touched. The only risk is forgetting, so leave yourself a reminder for the 1st of the month.
Add an expiring discount to the subscription
Use this when you would rather set it once. It reaches every open invoice due up to the end date, so check the account for older unpaid invoices first. If there are any, they get the discount too.
- On the student's profile, find Subscriptions and click Update.
- Turn on Discount.
- Choose a dollar amount or a percentage, enter a reason, and turn on Discount should expire.
- Set Valid until to the due date of the last invoice that should be lower.
- Click Update at the bottom of the subscription.
Invoices due on or before that date include the discount. The first invoice after it is full price. To stop sooner, turn the discount off.
This option is not available while the subscription is on hold. It also does not apply to a tuition subscription, whose price comes from your tuition setup rather than from the subscription. Discount those invoices one at a time with ADD DISCOUNT.
Charge more on one or two invoices
ADD DISCOUNT only lowers an invoice. There is no way in Opus1.io to raise a single subscription invoice and leave the rest alone.
The cleanest way to bill extra for a month, such as a longer lesson or an added lesson, is a separate one-time invoice. On the payer's profile, click Charge/Invoice Client, enter a description like Extra 30 minutes, March, and choose Invoice now / Charge later to leave it open for the family to pay, or Process Charge to take the payment on the spot. The subscription and the regular invoice stay exactly as they were.
If it has to be one invoice, you can raise How much should be charged? on the subscription, but only when every open invoice for that student should be higher too. After the invoices you meant to change are paid and closed, set the price back before the next invoice is created. Any invoice still open when you save is recalculated straight away.
Why not change the subscription price
How much should be charged? on the subscription's Update screen is that student's ongoing price. It does not change what other students on the same plan pay. Saving a new amount does all of this at once:
- Rewrites every open invoice on that subscription, not just the one you were looking at.
- Uses the new price on every invoice created afterwards, until someone changes it back.
- Recalculates sibling and household discounts on those invoices from the new price.
On a per-visit plan, that field is the price per visit, so each open invoice becomes the new rate times the number of visits. Opus1.io leaves the first prorated invoice of a per-visit plan as it was.
You also cannot save a price change while the subscription is on hold, or set a price lower than a flat discount already on the subscription.
Why: A temporary change made here depends on someone remembering to undo it. When they don't, the family is billed the wrong amount every month until it gets noticed.
FAQ
Will a discount on one invoice change next month's bill? No. An invoice discount lives on that invoice only. The subscription still holds the regular price, and Opus1.io uses it for the next invoice.
Can a family change the price of an invoice themselves? No. Families can pay open invoices from the family portal, but discounts, refunds and closing a $0 invoice are done by your staff.
Should I use a hold instead? If the student is pausing lessons for a stretch, like a summer break or an injury, yes. A hold stops lessons and adjusts billing for the dates you choose, then picks back up on its own. A discount is for a family who is still taking lessons but should pay a different amount.
Can I schedule a price change for a future date? No. Opus1.io has no future-dated price. For a temporary lower price, the expiring subscription discount is the closest thing. For a permanent change, update the subscription on the day you want it to take effect.
