Did my students get makeup credits after a closure?

Student missing a makeup credit after a holiday, snow day, or closure? Open the lesson first. A Closed lesson never gets a credit, and a Staff cancelled lesson should. Then go to Reporting > Credits, set Filter date to Created between for the day you batch canceled, and select Load everything. If there is no row, check Don't issue credit(s) and the service's staff cancellation setting.

Overview

After a holiday or weather closure, most studios batch cancel the day and move on. The first sign that something went wrong is often a parent asking why their child has no makeup lesson to book, weeks later, when the closure is hard to reconstruct.

A five-minute check in Opus1.io the day you cancel catches that early. You confirm which lessons were supposed to earn a credit, see every credit that was actually created, and, if some are missing, find the setting that stopped them before the next holiday repeats the problem.

Why: A missing makeup credit is a small thing to fix on the day and an awkward conversation a month later. Checking once per closure keeps families confident that a closed day will be made up when your policy says it will.

This article assumes the closure has already happened. If you are still deciding whether families should get makeups for a closure, start with Canceling vs. Closing Appointments and Group Classes.

Start with the lesson status

Open one lesson from the closure day on the Opus1.io main calendar. Its status tells you whether a credit was ever supposed to exist, which saves you searching for one that was never going to be there.

What you see Should there be a credit? What to do next
Closed, with (closed) in the lesson title No Stop here. Closing a lesson does not issue a service credit or a monetary credit.
Staff cancelled Yes, if the service is set to issue one Continue to the Credits Report
Active No The lesson was never canceled or closed. It still counts on the schedule, invoices, and payroll.
No lesson on that date No The closed dates were added before the lesson was booked, so Opus1.io skipped that date. There was nothing to cancel.

A few details about the Closed row, because it is where most "missing" credits turn out to come from:

  • Lessons become Closed when someone clicks Set All As Closed from the warning under Closed Hours / Days on the location. That action closes lessons. It never issues credits, whatever the service's cancellation settings say.
  • On a per-lesson plan, where the monthly charge is based on the number of lessons, the open invoice is recalculated so the closed lesson is not charged. That is the family's compensation for the day. An invoice that is already paid is not changed, and no refund is created.
  • Families are not emailed when lessons are marked Closed, so a family that never heard about the closure is not a sign that a credit failed.

If the lessons are Active and you want them closed instead, see Why are lessons still scheduled on my closed dates?. If they are Closed and your policy is to give makeups, go to Give a credit that was missed below.

Find the credits in the Credits report

The Credits report in Opus1.io lists every credit created in a date range, across all families. It is the fastest way to confirm a whole closure day at once.

  1. Go to Reporting > Credits.
  2. Set Filter date to Created between, and choose the day you ran the batch cancel. This is the day the credits were created, not the date of the canceled lessons. If you canceled Thanksgiving lessons on the Monday before, choose that Monday.
  3. Set Filter type to Service for makeup lesson credits, or Monetary for dollar credits.
  4. If the list is long, narrow it with Filter client, Filter staff, or Filter services.
  5. If applicable, Select Load everything, so the count includes every credit and not only the first page.

Each row is a credit that Opus1.io issued. To tie a row to your closure, look at Reason / Cancellation reason. It shows the reason you typed on the Batch Cancel screen, such as Thanksgiving closure. If you left that field blank, it shows the service's own credit label instead, which is set on the service under How should the issued service credit be labeled?

Compare the number of rows with the number of lessons you canceled. Expect one credit per student per canceled lesson, so a group class with eight students produces eight. If 40 students were canceled and the report shows 40 service credits, you are done.

The Status column tells you whether each credit can be used yet:

  • Unused means the credit is ready for the family to book a makeup.
  • Invalid means the canceled lesson was unpaid, and the service only lets families use a cancellation credit once that invoice is paid. The setting is Only allow using service credit issued as a consequence of cancellation once corresponding appointment / class date invoice is paid? The credit becomes usable when the invoice is paid.

To see exactly where a credit came from, select View on its row. Under Credit Activities, the first entry says the credit was issued to the client for the cancellation of that lesson.

Check one family's credits

When a parent calls about their own child, it is quicker to check the family directly in Opus1.io than to filter the report.

Service credits (makeup lessons) are stored on the student, not the parent.

  1. Open the student's profile and find the Credits card. It shows up to three active credits.
  2. Select See all credits for the full list.
  3. Turn off Show only active credits to include credits that have already been used, have expired, or were deleted. It is on by default, which is the most common reason a credit seems to be missing when it was issued and already used.

Monetary credits are stored on the payer, usually the account manager, not on the student. Open the payer's profile instead. If the service has Automatically apply monetary credits to next open invoice for subscriptions to this service? turned on, the credit may already show as Used, because Opus1.io applied it to the family's next open invoice. Turn off Show only active credits, then look for the credit on that invoice.

Why a staff-cancelled lesson has no credit

If the lesson is Staff cancelled and neither the report nor the student's profile shows a credit, Opus1.io was told not to issue one somewhere along the way. Work through these in order.

Don't issue credit(s) was on for the batch. This toggle is on the Batch Cancel screen. When it is on, no credit is created for any lesson in that batch, regardless of the service settings. It applies to the whole batch, so one toggle explains a whole day of missing credits.

The service is not set to issue a credit for staff cancellations. Open the service, go to the Cancellation tab, and find What should happen when an appointment or class is canceled when a staff is unable to perform the service? Each answer behaves differently:

  • Automatically issue a service credit creates a one-lesson makeup credit for each canceled lesson. These are the credits you should see in the report.
  • Automatically issue monetary credit (or recalculate invoice) usually does not create a credit at all. On a per-lesson plan, it recalculates the family's open or upcoming invoice so the canceled lesson is not charged. A monetary credit is created only when the matching invoice is already closed and Should an amount be credited back to the payer? has an amount filled in. If that amount is empty, nothing is issued.

Each service has its own setting, so a studio can have piano lessons issuing credits and voice lessons issuing nothing after the same closure. Types of Cancellations explains how staff cancellations differ from client cancellations.

The student was already canceled from that group class date. On a group class, a student who was already canceled for that date is skipped by the batch, so they do not receive a second credit. Check whether they have a credit from their own earlier cancellation.

The lesson's status was changed afterward. Override Status changes the label on a lesson and nothing else. It does not remove a credit that was already issued, and it does not issue a new one. If someone overrode lessons after the closure, search Reporting > Credits for the original cancellation day, and turn off Show only active credits on the student to include Used and Deleted credits.

The credit expired. If the service gives staff cancellation credits a validity period, the clock starts on the day the credit was issued. After that, it disappears from the active list. Turn off Show only active credits to see it.

Credit caps and the "credits left" count

The Cancellation tab on an Opus1.io service can cap how many makeup credits a student earns from client cancellations, both in total and within a rolling window such as 90 days. When a student shows zero cancellation credits left, those caps are usually the reason.

Those caps are set for client cancellations, which are separate from a closure. A closure that you batch canceled is a staff cancellation, so a family that has used up its client-cancellation allowance should still receive a credit for the closure day. If a student has reached a cap and you expected a closure credit, check the report for the cancellation day before changing any cap.

Understanding Cancellation Makeup Credit Settings: Timing, Validity, and Limits explains each cap and how validity periods are counted.

Give a credit that was missed

Once you know why a credit is missing, fix the setting first so the next closure works, then give the family what they are owed.

  • For a few students, add a service credit on each student's profile in Opus1.io. Give it a reason that names the closure so it is easy to find in the Credits report later. How do I modify service/monetary credits? covers adding and editing credits.
  • For a lesson that was Closed when it should have been canceled, open it, use Override Status to set it back to Active, then cancel it again as a staff cancellation. Opus1.io then applies the service's staff cancellation policy and issues the credit.
  • For a whole day of students, fix the service's staff cancellation setting, then contact support before adding credits one at a time.

FAQ

We marked the lessons Closed, but our policy is to give makeups. Can we still issue credits?
Yes. Closing did not issue credits, and changing the status alone will not either. For a few lessons, override each one to Active and cancel it again as a staff cancellation. For a full day of students, add the credits from each student's profile or contact support. For the next closure, add the closed dates to the location but batch cancel the lessons instead of clicking Set All As Closed.

Do closure credits expire?
Only if the service sets a validity period for staff cancellation credits. When it does, the period starts on the day the credit was issued, not the date of the canceled lesson. Credits without a validity period stay on the student's profile until they are used.

Do teachers get paid for staff-canceled lessons?
Staff-canceled lessons show as $0 in the Opus1.io payroll report by default. Closed lessons are also left out of payroll unless the teacher's pay rate has Count location closures? turned on.
